Documents for employing foreigners
AIRV Translation Bureau helps Lithuanian employers, recruitment companies, foreign employees and migration partners translate and prepare documents for MIGRIS, the Migration Department and other Lithuanian institutions.
Send us the documents first. Include clear copies of every relevant page, stamp and handwritten entry together with the instructions received in MIGRIS or from the receiving institution. We will confirm the translation scope, the required certification, price and timeline, and advise whether the documents should be submitted electronically or on paper.
The document requirements depend on the employment route
The documents required for employment and residence procedures may differ according to the employee’s nationality, current legal status, occupation, qualifications, employer and the basis of the application. In certain cases, the employer may also need to complete actions in MIGRIS, such as submitting a mediation letter.
AIRV Translation Bureau prepares and translates the documents that the employer or employee has been instructed to submit. However, we do not provide a universal immigration checklist or replace the Migration Department, Employment Service or a legal adviser.

Work record books
Work record books are among the documents most frequently translated by AIRV Translation Bureau for foreign employees. They contain information accumulated over many years about employers, positions, periods of employment, hiring and termination. Work record books are usually completed by hand and therefore contain numerous entries, stamps and seals.

If blank pages are included in the document, the translation will usually state that they contain no entries, as required by the responsible authorities.

Military service records
Military books and other military service records are also among the documents most frequently translated for employment and migration procedures. They contain service and status information, handwritten notes, entries in more than one language, stamps and seals.
Send all relevant pages and both sides of each document. A missing stamp, reverse side or handwritten entry can change the translation scope and may mean that the documents are incomplete or unsuitable for the intended procedure.
Police Clearance Certificates
A Police Clearance Certificate may be required when applying for a residence permit or completing another migration procedure. Depending on the country in which the document was issued, it may need to be apostilled or legalised before being submitted in Lithuania.
Send the document in its original language, all certifications and any translations you already have. The AIRV Translation Bureau team will assess the translation scope and prepare a properly certified Lithuanian translation.
Qualifications and work experience
Certain procedures require documents confirming qualifications or work experience. These may include diplomas, vocational qualification certificates, employment or service certificates, and other documents confirming a person’s professional background. The receiving institution or employer specifies which documents are required in each case.

We review all documents. We check the languages, volume, handwritten entries, stamps and seals, apostilles or legalisation endorsements, and advise whether originals may be required.

We provide one quotation. We confirm which documents will be translated, the required certification method, price and timeline, and whether the documents should be provided electronically or on paper.

We translate and certify. We translate the agreed content into Lithuanian and certify it with the AIRV Translation Bureau stamp and the translator’s signature. We arrange notarisation only when it is genuinely required.

Receive or forward the documents. We can provide the agreed electronic files, certified paper translations and delivery to the employer, employee or another specified recipient.
AIRV Translation Bureau translations for MIGRIS
Translations prepared by AIRV Translation Bureau follow the format required by MIGRIS and are suitable for the relevant migration procedures. We know how to translate and certify documents correctly.
If MIGRIS requests additional information or clarification, the issue is usually related to the documents themselves: the wrong document may have been submitted; a page, stamp, apostille or another document required for the procedure may be missing; or the document itself may not meet a specific requirement. AIRV Translation Bureau can help identify the likely deficiency, but the Migration Department makes the final assessment.
Do we need the originals?
For the initial review, quotation and many translations certified by our bureau, clear scanned copies are usually sufficient. Physical originals may be required when notarisation is requested, when the translation must be attached to an original, or when the receiving institution asks to inspect the original document.
Apostille or legalisation?
A foreign public document may need to be apostilled or legalised before it is used in Lithuania. Whether an apostille or legalisation is required depends on the country in which the document was issued, the document type and any applicable international exemptions. AIRV Translation Bureau can review the document, explain the likely process and coordinate the actions we are authorised to handle.
Formats, timing and payment
We provide:
• a signed and stamped PDF copy of the translation
• an ADOC document signed with a qualified electronic signature, when agreed
• a certified paper translation
• delivery by courier or post within Lithuania or abroad.
Many short documents can be completed within 1–2 business days. Multi-page work record books, military records and larger sets of documents require an individual timeline following review. Payment can be made by bank transfer, in cash or via PayPal.
Frequently asked questions
Do you translate the entire work record book?
We translate all completed pages, stamps, seals, other entries and relevant notes included in the agreed scope. If blank pages are included in the document, the translation may state that they contain no entries. Send the complete document so that we can provide an accurate quotation.
Can you translate a military book?
Yes. AIRV Translation Bureau frequently translates military books and other military service records. Send or deliver all relevant pages, ensuring that stamps, handwritten entries and both sides of any loose documents are visible.
Does MIGRIS accept translations prepared by AIRV Translation Bureau?
Yes. AIRV Translation Bureau prepares translations in the form required by MIGRIS. If the authority identifies a deficiency, it is usually related to the source document or the completeness of all documents submitted with the application, rather than the form in which our translation is certified.
Is notarisation always required?
No. For many documents required in migration and employment procedures, certification with the AIRV Translation Bureau stamp and the translator’s signature is sufficient. We arrange notarisation when it is specifically required.
Can the employer send the employee’s documents?
Yes. We regularly work directly with employers, recruitment companies and migration partners. The sender must be authorised to share the employee’s personal documents and should clearly identify the receiving institution and the required submission format.
Can AIRV Translation Bureau advise when the employee may start working?
No. AIRV Translation Bureau translates and prepares documents but does not determine the employee’s legal right to start work. Check the current employment and residence requirements in MIGRIS, with the Migration Department or Employment Service, or consult a legal adviser.

How the cost of translation is calculated?
The pricing model is based on the number of symbols. One standard translation page consists of 1,500 symbols excluding spaces. Different rates apply to different language combinations and for this reason, call or email to the translation agency and ask for more specific price. You should specify a) a language combination; b) a required translation service.
Is it possible to order translation services remotely?
Yes. If you need a notarized document, you can deliver your documents or texts by email and the translation agency shall take care of everything–they shall provide you with an electronic version of the translation validated by the agency.
Are urgent translation tasks charged extra?
No. We take every step to complete the translation as soon as possible and deliver it to a customer and therefore, we do not apply additional charges.
Are interpreting (consecutive and simultaneous) services offered?
Yes. Highly professional interpreters provide this service. Interpreters are selected subject to the field of specialisation, e.g. interpreting during events, conferences, commercial negotiations etc.
Is it possible to complete paperwork in Lithuania, if a customer is abroad?
Definitely yes. The translation agency helps the customers abroad very often: they can rely on us when they need translation, notarisation or legalisation services. You can email us the documents you need to be translated, or, alternatively, you can choose courier or prepaid post services. The documents will be prepared in line with your requirements.
Is it possible to order translation of sound and video records?
Yes. We offer the translation of more than 30 sound recording formats, including AIFF, M4A, MP3, MP4, WAV and WMA. We can also work with YouTube and other resources.

Are online translations time-saving?
As usual, our response time is very short. Whether you decide to order translations online or to visit our physical offices, we shall do everything for you as soon as possible.
What makes the translation cost-effective?

This is not an automated translation but rather translation tools that allow to maintain the original formatting of the translated text. If any text was translated before, the tool will offer the repeated segments of the text automatically. In this way, the translation process is shorter, cheaper and of better quality.

Our translation office in Vilnius is at Raugyklos g. 4A, LT-01139. The easiest way to find it is by walking or driving along Raugyklos Street from the Margutis sculpture towards V. Šopeno Street. You can park your car on the street in front of the office (there is a yellow zone nearby). You will easily spot the office signboard. You are welcome to drop by.
