What must you confirm before document collection or submission?
Universities, embassies, consular offices, ministries, notaries and other institutions use different procedures. Requirements can change and may include a client authorisation, a completed institution-specific form, an appointment, a case or application number, identification documents or a specific payment method.
The client must obtain the current requirements. Please contact the institution directly and confirm whether an AIRV representative may collect, submit and receive the document. Before we confirm the service, send us the institution’s reply and all of its requirements.
Collection from a university or another institution
If the institution agrees, AIRV can collect documents belonging to the client on the client’s behalf. The client must provide the institution’s name and address, the responsible contact person’s details, confirmation that the document is ready, and any required authorisation or document collection code.
AIRV cannot guarantee that an institution will release a document without its required authorisation or internal approval.
Submission to an embassy, consulate or authority
Before ordering a document submission service, the client must find out whether a representative may submit and collect the document, whether prior registration is required, which forms and supporting documents are needed, and which fees and payment methods apply. AIRV can advise based on its practical experience, but institutional requirements change and the client must obtain confirmation of the current rules.
For foreign-issued documents submitted for secondary legalisation at the Lithuanian Ministry of Foreign Affairs, the document owner, their employer or the receiving university may need to complete the submission. AIRV cannot promise representation where the current procedure restricts who may submit documents for legalisation.
Sending originals directly to AIRV
Once the process has been agreed, original documents may be sent to our Vilnius or Kaunas office. Include your full name, email address, telephone number, the purpose of the documents and clear return or onward-delivery instructions. We will contact you after receiving the shipment and confirm the start of the work.
How the process works

Describe the situation. Tell us where the documents are now, where they must go, which actions are required and your deadline.

Confirm the institution’s requirements. Obtain written confirmation that an authorised AIRV representative may act on your behalf, together with all authorisation forms, registration, fee and collection instructions.

Send scans and contact details. Provide a complete copy of the document, the contact details of the person holding it, the receiving institution’s requirements and the final delivery address.

Receive a quotation. We confirm which services AIRV can provide, the estimated timeline, third-party costs, travel or courier charges and the documents required from you.

AIRV coordinates the agreed steps. After payment and receipt of all authorisations, we perform the ordered services: collecting, preparing, submitting or forwarding the documents.

Receive confirmation and delivery details. We send a copy of the document, dispatch information or tracking number and forward the documents to the approved recipient.

Price and timeline
The quotation depends on the locations involved, number of visits, registration and waiting time, authorisations, translation and certification work, authority fees and the chosen delivery method.
AIRV confirms an estimated timeline only after the institution’s procedure and the status of the documents have been established. Institutional processing times and courier delivery times remain outside AIRV’s control.
Frequently asked questions
Can AIRV collect my original document from a Lithuanian university?
Yes, if the university confirms that it may release the document to our representative and all required authorisations and contact details are provided.
Can AIRV submit a document to an embassy or consulate?
Possibly. The client must first obtain the embassy’s current requirements and confirmation that their representative may submit and collect the document. We then assess whether AIRV can perform the assignment.
Can AIRV pay an authority or embassy fee on my behalf?
Where the institution accepts a suitable payment method, this may be included by prior agreement. The authority fee and AIRV service charge are shown separately in the quotation.
Can you send the documents directly to a university or another institution?
Yes. We can arrange delivery to the approved recipient in Lithuania and provide the agreed dispatch information. A contact person’s name and telephone number may be required.
Can you send completed documents abroad?
Yes. Depending on the client’s preference, we can arrange delivery by courier or post. Price, delivery time and tracking availability depend on the selected shipping method and destination.
Do scans suffice?
Scans are sufficient for an initial assessment or consultation. Physical originals are required whenever the ordered services require the original physical document. Each situation is assessed individually.

How the cost of translation is calculated?
The pricing model is based on the number of symbols. One standard translation page consists of 1,500 symbols excluding spaces. Different rates apply to different language combinations and for this reason, call or email to the translation agency and ask for more specific price. You should specify a) a language combination; b) a required translation service.
Is it possible to order translation services remotely?
Yes. If you need a notarized document, you can deliver your documents or texts by email and the translation agency shall take care of everything–they shall provide you with an electronic version of the translation validated by the agency.
Are urgent translation tasks charged extra?
No. We take every step to complete the translation as soon as possible and deliver it to a customer and therefore, we do not apply additional charges.
Are interpreting (consecutive and simultaneous) services offered?
Yes. Highly professional interpreters provide this service. Interpreters are selected subject to the field of specialisation, e.g. interpreting during events, conferences, commercial negotiations etc.
Is it possible to complete paperwork in Lithuania, if a customer is abroad?
Definitely yes. The translation agency helps the customers abroad very often: they can rely on us when they need translation, notarisation or legalisation services. You can email us the documents you need to be translated, or, alternatively, you can choose courier or prepaid post services. The documents will be prepared in line with your requirements.
Is it possible to order translation of sound and video records?
Yes. We offer the translation of more than 30 sound recording formats, including AIFF, M4A, MP3, MP4, WAV and WMA. We can also work with YouTube and other resources.
What translation fields we handle?
We have professional translators working in such fields as medicine, finance, engineering, law, advertising as well as creative translations.
Are online translations time-saving?
As usual, our response time is very short. Whether you decide to order translations online or to visit our physical offices, we shall do everything for you as soon as possible.
What makes the translation cost-effective?
We use the latest translation technologies and software. They can recognise repetition and thus save your money. This is not an automated translation but rather translation tools that allow to maintain the original formatting of the translated text. If any text was translated before, the tool will offer the repeated segments of the text automatically. In this way, the translation process is shorter, cheaper and of better quality.
Where exactly the translation office in Vilnius is?
Our translation office in Vilnius is at Raugyklos g. 4A, LT-01139. The easiest way to find it is by walking or driving along Raugyklos Street from the Margutis sculpture towards V. Šopeno Street. You can park your car on the street in front of the office (there is a yellow zone nearby). You will easily spot the office signboard. You are welcome to drop by.
